Operations Manager

Position Summary

Harris, Hardy & Johnstone, P.C. is seeking an Operations Manager to support the administrative, operational, workflow, and people-related functions of our CPA firm. This position offers an excellent opportunity for an organized and motivated professional looking to grow their career.

The Operations Manager reports to the COO and is responsible for maintaining efficient office operations, coordinating administrative aspects of tax return processing, leading admin support staff, supporting firm personnel, managing vendor relationships, assisting with human resources processes, and helping implement operational improvements across the organization.

The ideal candidate is a proactive problem solver, strong communicator, and skilled organizer who enjoys improving processes and supporting a professional services environment.

Key Responsibilities

Firm Operations Support

  • Coordinate firm facilities, office services, equipment, supplies, and workplace environment.
  • Help leadership identify and implement operational procedures and administrative workflows.
  • Provide leadership and direction to administrative support staff.
  • Assist leadership with special projects and firm initiatives.

Tax Return Processing & Administrative Workflow Coordination

  • Coordinate the assembly, delivery, electronic distribution, and retention of client tax returns and related documents.
  • Assist in monitoring tax return status, workflow queues, and project tracking systems.
  • Assist with electronic signature processes, client portal administration, and document management procedures.
  • Monitor tax return receipt, delivery, and filing deadlines and help facilitate communication regarding outstanding items.
  • Help maintain firm procedures for return processing, document retention, client correspondence, and workflow management.

Human Resources Support

  • Coordinate employee onboarding and offboarding activities.
  • Support COO with benefits administration and employee communications.
  • Assist leadership with recruiting logistics, candidate scheduling, and new-hire processes.
  • Maintain personnel records and HR documentation, and licensure compliance records.
  • Coordinate firm events, employee recognition programs, and staff communications.

Financial & Administrative Support

  • Support and back up financial admin staff with invoices, check deposits and vendor payments.

Qualifications

Required

  • 5+ years of administrative, operations, office management, or business management experience.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft 365 applications, including Outlook, Excel, Word, and Teams.
  • Ability to manage multiple priorities and work independently.
  • High level of professionalism, discretion, and attention to detail.

Preferred (Not required)

  • Experience in a CPA firm, professional services firm, law firm, financial services organization, or similar environment.
  • Experience with accounting practice management software, tax processing software and tax delivery software.
  • Experience supporting HR administration, benefits coordination, or recruiting support.
  • Associate's or Bachelor's degree in business, management, human resources, or a related field.
